BrokerUnion Insurance Inc. (“BrokerUnion”, “we”, “our”) respects your privacy. This policy explains how we collect, use, disclose and safeguard personal information in accordance with Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable Ontario law.

Information we collect

We collect personal information you provide directly to us (name, contact details, date of birth, address, driver and vehicle information, property details, business details, financial and beneficiary information for life and benefits applications), information generated through your interaction with our website (IP address, device and analytics data), and information we receive from insurers, premium financing companies, claims adjusters and credit-reporting agencies in the course of quoting, binding and servicing your policy.

How we use your information

  • To prepare quotes and place coverage with insurers on your behalf.
  • To service your policy, including renewals, mid-term changes and claims.
  • To meet our regulatory, legal and contractual obligations as a RIBO-licensed brokerage.
  • To communicate with you about your coverage, our services and relevant updates you have consented to receive.

Consent

When you request a quote or become a client, you consent to BrokerUnion collecting, using and disclosing your personal information for the purposes above. You may withdraw consent at any time, subject to legal and contractual restrictions and reasonable notice; doing so may prevent us from continuing to provide certain services.

Disclosure to third parties

We disclose your information to insurers and managing general agents we approach to obtain a quote or place coverage, to premium financing companies you elect to use, to claims adjusters and counsel during a claim, to service providers that help us operate (broker management systems, hosting, email, analytics) under contractual confidentiality, and where required or permitted by law. We do not sell your personal information.

Safeguards

We protect personal information with administrative, technical and physical safeguards, including access controls, encryption in transit, secure broker management systems and staff training. No system is perfectly secure, but we work to limit collection to what is reasonably necessary and to dispose of records when they are no longer required.

Retention

We retain client records, including notes, emails, broker-management-system entries and, where applicable, call recordings, for the period required by RIBO recordkeeping rules and applicable limitation periods, after which records are securely destroyed or anonymized.

Your rights

You may request access to and correction of the personal information we hold about you. Contact our Privacy Officer at info@brokerunion.ca. If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada at priv.gc.ca.
